Live Event Health & Safety Documents

Our health and safety document collection has changed - this means your documents are now split between those that apply to your business as a whole and those that are specific to the service unit you are operating from.


We hope these upgrades can help you better organise your document storage and speed up your preparation for any events you do with Togather.

All documents submitted will be reviewed by a member of the team, and will appear as approved in your profile once accepted, or give you some comments on reasoning if rejected. We will notify you ahead of document expiry, so you can provide us with new versions, ready to trade. 



Business Level Documents


You can store documents not related to a service unit in the 'Documents' section of 'Account settings'.

Liability insurance - public, product and employersThe policy(s) must match your registered business (or business owner’s) name, and have been issued within the last 12 months. You need a minimum £10M cover. Sometimes your liability policies will be combined, in which case you can upload one document that illustrates all of Public, Product and Employers Liability insurance. If these are separate then please upload multiple documents.All suppliers
Health and Safety Policy
The policy should include your general commitment to good health and safety management, listing those within the business who have responsibilities for managing H&S, reviewed within the last 12 months.Food and drink suppliers only
Food Hygiene Rating
Please provide a link to your live rating on the FSA or FHIS (Scotland) website.  Food and drink suppliers only
Food Hygiene Training CertificateProof of valid food hygiene training (minimum level 2), for anyone in your business who handles food. This must be accredited by a recognised provider (e.g. Highfield, RSPH, City & Guilds).Food and drink suppliers only
Personal Alcohol LicenseAny setup selling or supplying alcohol must have at least one individual with a valid Personal Licence AT ALL TIMES, issued under the Licensing Act 2003. Upload a copy of each individual’s Personal Licence (front and back). This is typically held by bar supervisors. The licence must be current and valid. If multiple people in your team are licensed, you can upload more than one document.Required if you are offering alcohol


Setup Level Documents


If you're approved to apply to Togather Live events, you'll be required to give us some additional documents per the setup units you've listed on your profile.

Health & Safety Risk Assessment
A safety document detailing all potential hazards in your setup (e.g., slips, burns, manual handling, electrical risks, lone working, use of LPG,) and outlining the steps you take to prevent accidents. This should cover all activities where there is a potential risk of harm and should have been reviewed within the last 12 months.Food, drink and Marquee suppliers
Gas Safety Certificate
For all gas appliances in your setup, issued by a LPG qualified commercial Gas Safe engineer within the last 12 months.Food and drink suppliers only
PAT (Portable Appliance Testing) Certificate
All relevant PAT certificates, issued within the last 12 months.Food and drink suppliers only
Electrical Installation Certificate (EIC)
An EIC for your food truck, vehicle or trailer, issued within the last 12 months.Food and drink suppliers only
Hazard Analysis and Critical Control Point (HACCP)
A food safety risk assessment, reviewed within the last 12 months.

Control of Substances Hazardous to Health (COSHH)
A risk assessment that covers hazardous substances, reviewed within the last 12 months.Food and drink suppliers only
Fire Risk Assessment
A risk assessment that covers fire risks in your unit, reviewed within the last 12 months.Food and drink suppliers only
Allergen Chart
A matrix that clearly identifies the 14 specified food allergens present in all of your prepared or sold food items reviewed within the last 12 months.Food and drink suppliers only
